Terms of Service
The legal terms for using HelloMailHost subscriptions, hosting, email, and industry solutions.
1) Definitions

“We”, “us”, and “HelloMailHost” mean hellomailhost.com and our affiliates. “You” means the customer entity or individual accepting these Terms. “Services” include our subscription-based hosting, domains, professional mail, and industry software solutions listed on our site. “Order” means the purchase you place via our Pricing or Shop pages. “SLA” means the service level commitments on the SLA & Uptime page. “AUP” means our Acceptable Use Policy. “Effective Date” is the date you accept these Terms or first use the Services.

2) Accounts & Access

You must provide accurate registration details and keep credentials confidential. You are responsible for activity under your account. You will promptly notify us of any unauthorized use or security incident. Admin users may invite and manage end users; you are responsible for their compliance with these Terms and the AUP.

Provisioning may require domain verification and configuration steps. We may suspend access where required by law, to protect the Services or users, or for non-payment. Support channels and access prerequisites are described on the Support pages.

3) Subscriptions & Billing

Plans are subscription-based and billed in advance per the term selected at checkout. Taxes, if applicable, are additional. By placing an Order, you authorize recurring charges until cancelled. Prices and features are shown on the Pricing page; add-ons are billed separately. Late or failed payments may lead to suspension. We may use third‑party payment processors.

4) Renewals & Cancellations

Subscriptions auto‑renew for successive terms unless you turn off auto‑renew or cancel before the renewal date. Upon cancellation, service continues until the end of the current term; no refunds for partial periods unless required by law.

We may modify or discontinue specific features with reasonable notice. Material adverse changes to core functionality will be communicated in advance with options to adjust plans.

5) Service Availability

We target high uptime and publish status and metrics on the Service Status page. The SLA & Uptime page defines targets, maintenance windows, exclusions, and credits. We may perform emergency maintenance without prior notice to protect the platform; scheduled maintenance will be announced in advance where feasible.

6) Acceptable Use

Your use must comply with our Acceptable Use Policy, which prohibits abuse, spam, illegal content, interference with the Services, and security violations. We may investigate suspected violations and may suspend or terminate accounts involved. See the Acceptable Use Policy for full details.

7) Data Protection & Privacy

We process personal data to deliver and secure the Services. Our Privacy Policy describes data types, purposes, retention, international transfers, security, and your rights. You are responsible for having a lawful basis to process end-user data in your use of the Services.

Where required, we offer data processing arrangements and list sub‑processors. You must configure roles, access controls, and retention settings appropriately for your organization.

8) IP Rights & Confidentiality

We and our licensors own all intellectual property in the Services. You retain ownership of your content and data. You grant us a limited, revocable license to process your content solely to provide and improve the Services. Each party will protect the other’s confidential information with at least reasonable care and use it only as permitted by these Terms.

9) Disclaimers & Liability

Except as expressly stated, the Services are provided “as is.” We disclaim warranties of merchantability, fitness for a particular purpose, and non‑infringement to the maximum extent permitted by law. To the extent permitted by law, neither party is liable for indirect, incidental, special, or consequential damages. Each party’s aggregate liability under these Terms is limited to fees paid in the 12 months preceding the claim.

10) Governing Law

These Terms are governed by the laws of Malaysia, without regard to conflict-of-laws principles. The courts of Malaysia shall have exclusive jurisdiction over disputes, and the venue shall be Selangor, Malaysia, unless mandatory local law provides otherwise.

11) Changes & Notices

We may update these Terms by posting a revised version with an updated date. Material changes will be notified via email or in-product notice. Continued use after the effective date constitutes acceptance. Notices to us must be sent to info@hellomailhost.com.
